    Job Description & Requirements

    The Deduction Coordinator is responsible for validating proof of performance for customer trade promotions and rebates and researching and resolving complex customer issues.  The Coordinator must ensure that  deductions/adjustments, escalated payment issues and collections activities related to assigned customers are resolved accurately and timely. A strong customer service mindset is required for success.  The Deduction Coordinator will work closely with customers and cross-functional teams to understand and resolve issues while adhering to established company policies and procedures. 

     

    • Partner with cross-functional teams to determine customers' eligibility for promotional and rebate programs (slotting, promotional and advertising events, contractual agreements….); determine if deductions align with program requirements
    • Research and resolve deductions/disputes for assigned customers with varying degrees of complexity - gather source documents (including research on customer portals), research contractual requirements, and work directly with Account Managers and customers to provide recommendations on the best course of action
    • Provide uniform packages of research material for approval, following the established approval matrix
    • Clear open deductions in Demantra, DMS and Destiny; process deduction exceptions/adjustments according to established company policies and procedures
    • Work to reduce exceptions through root cause analysis and escalation
    • Analyze historical data to spot trends and problem areas that can be communicated to Commercial and Operations; aiding efforts to improve business processes and contract negotiations
    • Support Cash Appliers with the resolution of customer inquiries on application of funds as needed
    • Support Cash Appliers and Collectors with clarification / guidance on unidentified payments
    • Obtain and track approvals for all adjustments in accordance with established company policies and procedures
    • Develop awareness of the customers’ business and financial standing to support collection processes
    • Minimize risk of loss to the company by ensuring that overall customer collection status is assessed prior to the issuance of promotional rebates/incentives
    • Assist with necessary customer communications
    • Special projects as assigned

    Minimum Requirements:

     

    *Education required: 

    • High School Diploma or equivalent with some college preferred

    *Business experience required: 

    • Minimum of three years relevant, applicable and transferable experience in a corporate and/or Shared Services environment or equivalent (may be a developmental role based on prior skillset or degree)
    • Highly organized

    • Knowledge of transactional processes and systems

     

    *Technical Experience:

    • Exposure to AS400 accounts receivable systems, a plus
    • Oracle Demantra or other TPM tool experience a plus
    • Intermediate working knowledge of Microsoft Excel, Word and Outlook desired
